Job Description
Supporting the Production Manager and Floor Manager with day-to-day running of the Production Office – taking ownership of all Production system administration, Time & Attendance systems, materials purchasing.
Responsibilities
• Assisting Production Management to maintain the Production Ticket system with accurate information, filling in missing information so that is available for users
• Managing working Schedules, planning labour resources with Production Management Team, including leave requests and overtime
• Responsible for timely & accurate timesheet recording across all Production workers, including Employees, Freelancers and borrowed workers.
• Assistance to Production Management team in onboarding and inducting of all Production workers
• Work with Management to report on Production Costs on a weekly & monthly basis
• Health and Safety & HR administration for the Production Department, such as updating training records, PPE recording, and COSHH assessment documentation.
• Production Purchasing:
– Place raw material stock and ad-hoc orders for production, within agreed parameters, raising purchase orders on Sage and ensuring costs and goods received are reflected accurately
– Monitor stock-room and replenish where required
– Ensure material prices are kept up to date (in commercial system) to ensure works can be costed accurately
– Receive deliveries (forklift license would be beneficial), and be a Goods In point of contact for the business – notify correct department/person when goods received
– Check and match goods received against delivery notes, raise any discrepancies with the supplier promptly
– Complete stock takes when required (with assistance)
– Follow up and expedite orders where necessary
– Schedule collections of commercial waste and ensure WTNs are stored in-line with regulations *waste contracts/agreements managed by Procurement
– Be aware of COSHH regulations when purchasing hazardous substances, and follow H&S processes to ensure correct protocols in place before the chemical is brought on site *basic COSHH training is a must, but any COSHH assessments should be reviewed/signed off by someone outside of production -H&S.
